At a glance

  • A Task in the Gemini app can run on a daily schedule and fold Gmail, Calendar, and Drive into one priority brief before standup.
  • Start a Task below the text box, describe the schedule in plain language, and submit it.
  • Run the new schedule once by hand from the Scheduled page and read the result before you trust tomorrow morning.

You open Gmail, Calendar, and Drive in three tabs, skim for blockers, and still walk into standup without one ranked list.

Why it matters

Help describes tasks as work Gemini keeps doing, and splits the idea in three: a task is the what, a schedule is the when, and a skill is the how. Schedules come in three kinds. Time-based schedules run once or on a cadence, Gmail monitors fire when a matching email arrives, and topic monitors watch news and similar sources.

On Tuesday 13 October 2026, Google's Gemini app blog said Pro and Ultra subscribers can hand Gemini tasks that work across Google apps while they are away from the computer. Help notes these schedules differ from scheduled actions in ordinary chat. The payoff is a brief that has already read your inbox, calendar, and docs.

How to schedule a morning priority brief

  1. Check the prerequisites in Gotchas first, including Connected Apps for Google Workspace, or the brief will have nothing to read.
  2. On your computer, go to gemini.google.com, or open the Gemini app on a Mac.
  3. Below the text box, switch to Task. Google's own pages describe this control two ways, as covered in Gotchas.
  4. Paste a schedule description like the block below, changing the hour and sources to fit your day.
  5. Optional: to attach a skill you already use, insert it with the skill shortcut your screen offers. If the skill is off, turn it on first.
  6. Click Submit. Gemini should summarize the schedule it created.
  7. In the sidebar, open Scheduled. On the new schedule, choose More, then Run now, and read the brief it produces.
  8. In the task thread, open the progress view and confirm the steps match what you asked for.
Every day at 7 AM, look through my emails, calendar, and Drive, and let me know what to prioritize for the day. Rank blockers first, then meetings that need prep, then docs I should read before noon. Keep the brief under 200 words. Do not draft or send any email.

The first sentence is Google's own example from the schedules Help page. The ranking, length, and no-email lines are our additions, so edit them freely.

Gotchas

  • Who can use it: Help says you need to be 18 or over, signed in with a personal Google Account, on Google AI Pro or Ultra. Work and school accounts are not supported for tasks yet.
  • Where: tasks are unavailable in the European Economic Area, the United Kingdom, Switzerland, and Nigeria for now.
  • Prerequisites: Connected Apps for Google Workspace must be on before Gmail, Calendar, or Drive actions work. Help also requires Keep Activity on and an opt-in to Personal Intelligence.
  • Task control wording: Help says to click Task below the text box, while the 13 October blog post calls it a toggle. We don't know which your screen shows, so look for either.
  • Skill shortcut conflict: the schedules Help page says to type a slash before the skill name, and the tasks Help page says to type an at sign. Try whichever your screen accepts.
  • Limits: Help caps concurrent tasks at 15 and active schedules at 50. Run times are approximate, usage limits can skip a run, and a schedule keeps the time zone it was created in.
  • Safety: keep passwords and payment details out of task threads. Spark was renamed to Task, so older Spark threads still appear in the sidebar.

Prompt

I want a Gemini app Task with a daily time-based schedule that builds my weekday morning priority brief from Gmail, Calendar, and Drive. Ask me what hour I start, which senders or projects matter, and what counts as a blocker on my team. Then write a schedule description I can paste into a new Task at gemini.google.com, three checks to make on the first Run now, and a short list of account, plan, and region requirements I should confirm in Google Help first. Stay inside Gemini app tasks, and do not invent Workspace Studio steps, settings, or button names I did not mention.
